Privacy Policy
Inspecta is an app and website that hotels use to run housekeeping, front office, maintenance and store work. This policy explains what data Inspecta handles, why, and how it is protected. Questions: abhicjoji@gmail.com.
Who is responsible
Each hotel that uses Inspecta decides what is recorded about its staff, rooms and guests, and is responsible for that data. Abhi C Joji, sole proprietor, trading as Inspecta (GSTIN 32CUOPJ0355B1Z2, Udyam UDYAM-KL-03-0044300), Joy Home, Lake Road, Thekkady, Idukki, Kerala 685509 (“we”), runs the service and processes the data on the hotel’s behalf, only to provide the service.
What data we handle
- Staff accounts: name, username, role, hotel and permissions. Passwords are never stored in readable form — only a salted, one-way hash, kept where no app or browser can read it.
- Hotel work records: room checklists, inspection and repair photos, room allotments, check-in and check-out times, guest extras, repair jobs, store stock movements, lost & found items and the names of staff who did each task.
- Guest names entered by front-office staff for room allotment.
- Guest QR page: the room number, the request (for example towels or a repair) and an optional rating and comment. Guests are not asked for their name, phone number or email.
- Demo requests on this website: the name, hotel, city, room count, phone, email and message you choose to send.
- Technical data: an anonymous sign-in identifier for each device, used to keep a login secure, and the app version (to require updates).
The app uses the camera only when staff take inspection or repair photos, and notifications to alert staff about work in their hotel. Inspecta does not use advertising, does not track you across other apps or websites, and does not sell data.
How we use it
- To run the service for the hotel: showing room status, approvals, alerts, reports and history.
- To keep accounts secure and each hotel’s data separate from every other hotel’s.
- To answer demo requests and support questions.
Where it is stored and who can see it
Data is stored with Google Firebase (Cloud Firestore, Firebase Authentication and Firebase Hosting), a service of Google LLC, whose servers may be located outside India. Data is encrypted in transit. Database rules allow each staff member to see only their own hotel’s data, according to their role; the Inspecta administrator can access all hotels for support and maintenance. We share data with no one else, except where the law requires it.
How long we keep it
- Room photos are deleted automatically after 1 to 7 days, as set by each hotel. The written record of the inspection stays.
- Other hotel records are kept while the hotel uses Inspecta, so it can see its history and reports. When a hotel stops using Inspecta, its data is deleted on request.
- Demo requests are kept until they are no longer needed to follow up.
Deleting an account or data
Staff accounts are created and removed by the hotel’s administrator. To delete your account, ask your hotel’s manager, or email abhicjoji@gmail.com from the email address linked to your hotel with your username and hotel name. We will confirm and delete the account and its login within 30 days. See how to delete your account.
Your rights
Subject to applicable law, including India’s Digital Personal Data Protection Act, 2023, you may ask to see, correct or delete personal data about you, or withdraw consent where processing relies on it. Write to abhicjoji@gmail.com. If your request concerns data a hotel recorded about you as a guest or employee, we will pass it to that hotel and help it respond.
Children
Inspecta is a workplace tool for hotel staff and is not directed at children.
Changes
If this policy changes, the new version will be posted on this page with a new effective date.
